From unstructured to efficient document management in Salesforce

Managing documents in Salesforce wasn't easy for Bauder. Until they started using the Next® enterprise document management.

How do you get the most out of your Salesforce?

When Bauder started using Salesforce to digitize their project work, accessing their documents posed challenges. 

While the sales team successfully adapted the solution, the service team continued to work on network drives and numerous isolated databases. Because of this, work was duplicated, service documents made twice, and the Field Service team couldn’t access documents on the road. With a document chaos emerging, people had to navigate a number of tools outside of Salesforce to get the job done. 

What was meant to speed up work processes, ended up slowing them down. Surprising? Not at all.

Salesforce is a fantastic CRM platform. However, it isn’t designed to service robust document handling needs.

So what to do if you want a system that collects documents and supports both, pre-and post-sales?


Taming the document chaos

As the document chaos continued to grow, solutions had to come fast. Fortunately, Bauder had a clear vision for the ideal document management system:

The right DMS partner for the job

After evaluating various software vendors, Bauder selected Nextway as their Document Management System partner. The Next® Enterprise Document Management system provided the ideal solution, offering a comprehensive 360° view of all customer documents for the team. This is great, however there is more to the system.

What you see, is what you’re allowed to

With Next®, document security is handled to the highest standards. 

Bauder's requirement for EU server storage was easily fulfilled, because Next® securely stores all documents on Microsoft Azure servers in Frankfurt, Germany – and thanks to the strict permission control, employees can only access information that is relevant to their job.

This offers Bauder optimum data security and compliance.


Document migration and user adoption

Once the implementation of Bauder's new eDMS solution was finalized, a migration process was carried out for approximately 10,000 documents. Sincen then, the document count has grown to approximately 40,000 in six months.

Despite an initial learning curve, users are now at ease with the system and are adding new documents more frequently.
