The challenge
To create holistic solutions with high-quality technology products – this market advantage of TAPROGGE GmbH also brought about the desire to improve the internal processes.
The time spent on administrative processes was too high, and the work of the payroll accounting department had to be simplified, and resources for reliable personnel controlling were required. Furthermore, effective management for the quantity of incoming documents (delivery notes etc.) was urgently required.
In 2006 TAPROGGE obtained the support of Nextway for this purpose.
The process
The digital personnel files were introduced with Next®. A logical folder system files the data and documents in a structured and clear manner. Paper documents such as contracts, references, certificates and applications are scanned and transferred into the archive.
All incoming delivery notes and orders are provided with a barcode at TAPROGGE. These contain document data and a unique document number. The information is automatically retrieved from the ERP Oxaion, in which Next® was completely integrated. Then the documents are scanned, checked by Oxaion and at the end of the process they are saved as PDF in Next®.
The solution
The documents can be searched for very quickly either via the Next® filing path, the integrated Nextway search engine or directly in Oxaion. Finding a document is now comfortable and without unnecessary delays.
Access security to sensitive personnel data is consistently guaranteed via the intelligent authorisation system of Next®.
